Terms and Conditions

To help you (the customer) get the best out of Frankie Campbell Highland Dance (FCHD) and to understand our responsibilities to you and your responsibilities to us, please read the following terms and conditions. The following policies exist to safeguard the wellbeing of our pupils and to ensure that the good name of our School continues to be associated with high quality teaching and enjoyment of dance. FCHD reserves the right to refuse entry to classes if these rules are not complied with. The School will review and amend its policies on a regular basis and reserve the right to change these Terms and Conditions without prior notice. You are responsible for reviewing these Terms and Conditions which can be available on request. Your continued use of services constitutes your agreement to the then current Terms and Conditions of FCHD. Parents and pupils are encouraged to read this document to ensure a clear understanding is gained.

For the purpose of this this document the term 'child' is used to refer to all dancers registered by their parent/guardian at FCHD, including those who have exceeded their 16th birthday.


  1. Provision of Classes and Services

1.1 We operate on a weekly rolling timetable throughout 40 weeks of the calendar year (“classes”). In addition to our weekly classes, we run other services such as, but not limited to, Privates, Holiday Sessions, Competitions, Exams, Workshops, Shows and Events (“services”) on an irregular basis.

1.2 Our holiday weeks typically run in line with the Edinburgh City Council school holidays, 1 week in October, 2 weeks at Christmas, 1 week in February, 2 weeks at Easter and 6 weeks over Summer.

1.3 We are committed to delivering classes and services to a high standard, this means you can expect us to be appropriately qualified, prepared, welcoming and courteous.

1.4 Unforeseen circumstances may prevent us from delivering a class or service with last minute notice. (Teacher illness, accident or injury.) In these circumstances, an alternative will try to be made.

1.5 Refunds are not provided if a class or service is cancelled due to circumstances outwith our control, this includes but is not limited to, pandemic, industrial action, terrorist threat, natural disaster or war.


2. Fees and Memberships

2.1 Class fees are charged at a fixed monthly rate. This rate is based on splitting the cost of 40 weeks of classes per annum into 12 equal monthly payments.

2.2 In order for a place to be kept open for your child in our classes, payment is required on the 1st of each month for all 12 months (running August - July)

2.3 The system we now use is fchd.classforkids.io. Signing up through ClassForKids and setting up a monthly subscription is the only registration and payment method FCHD is now able to accept. We no longer take cash, monthly BACS or cheques for rolling fees.

2.4 We reserve the right to make changes to fee amounts and/or payment date if necessary. In this case, you will be given notice prior to payment being due.

2.5 Fees and Memberships are reviewed annually. Any changes to these will be communicated beforehand.

2.6 There is an annual FCHD Membership fee of £25 to all new dancers signing up. There is a rolling FCHD Membership fee of £15 due annually to all current dancer members. Memberships are to help cover the setting up of each child on our system as well as non tuition essentials such as insurances and licensing including the payment of their annual SOHDA Memberships. There is also a list of added benefits which can be subject to change/removed without prior notice.

2.7 Membership payments are non-refundable.

2.8 Monthly fee payments are due in full and cannot be adjusted for planned or unplanned absences, including but not limited to, illness, injury, holidays, events, work, other activity commitments or traffic.

2.9 In exceptional circumstances we may, at our discretion, pause or reduce class fees on a temporary basis. These circumstances could include long term medical conditions, operation or procedure, extended absence due to bereavement. We are open to a discussion in setting up a retainer fee to keep your childs place.

2.10 If you wish to cancel a class/es at FCHD, written notice via email is required one month in advanced with any outstanding payments required to be paid.

2.11 Memberships and monthly Subscriptions are only required for our Grade Classes, Competition Classes, Choreo Performance Class and Highland Fusion. All Baby and Adult sessions will not require an annual Membership or Subscription unless stated otherwise. Prior notice will be given if changes are made. 


3. Trial Sessions

3.1 We offer Trial Sessions at FCHD for our Grade classes and Highland Fusion for anyone wishing to try a class before committing to a monthly subscription.

3.2 Trial Sessions need to take place over 2 consecutive weeks (subject to holiday closures), both sessions are for the required class which was booked and Trial Sessions cannot be transferred or refunded.

3.3 If your child wishes to trial a different class after the first Trial Session is complete, a new booking must be made.

3.4 All Trial Session bookings to be purchased via our Class For Kids system.

3.5 After completing a Trial Session, contact will be made to confirm enrolment along with an invoice to cover your Childs FCHD Membership and any remaining classes of the current month.

3.6 Upon payment of Membership and fees, you are then committing to a rolling monthly subscription for that class.

3.7 Trial Sessions cannot be used as a means of attending class on a pay as you go basis. Once Trial Sessions are completed, you can either sign up or cancel your enrolment.

3.8 You are not permitted to purchase consecutive Trial Sessions for the same class. If Trial bookings are made for the same class repeatedly, your enrolment in that class will be suspended.


4. Class Etiquette 

4.1 FCHD aims to provide an environment where our dancers can thrive. We plan and implement fun and disciplined classes to do so.

4.2 Disruptive, disrespectful and/or anti-social behaviour during class or on the premises will not be tolerated. Everyone is expected to conduct themselves in accordance to our Dancer Code of Conduct and this should be respected and adhered to at all times. If not, we will issue a verbal warning, if it continues, parents will be contacted.

4.3 We believe in teaching boundaries and setting a good example in line with our positive ethos to build dancers self esteem and confidence.

4.4 We will treat everyone with kindness and respect and appreciate the same in return.

4.5 Where there is a designated uniform for class, this must be worn with the exception of prior notice and consent.

4.6 Dance shoes (practice pumps or Highland shoes are both acceptable) must be worn at all times with the exception of prior notice and consent.

4.7 Hair must be worn in an appropriate manner for class. All long hair should be neatly tied back off the face.

4.8 Please ensure your child has a drink when attending class. Staying hydrated is a basic need for when dancing. Water is most suitable but squash is also accepted. No fizzy juice. Please ensure the drink is in a suitable container. We have a cold water station on the premises for refilling. No food allowed within the dance room.

4.9 Phones are not permitted in the dance room. Anyone bringing a phone will require to put it into the designated phone basket and will receive it back at the end of class. If you urgently require to get in touch with your child during class, please get in touch with a member of the teaching team instead.

4.10 We advise that your child refrains from bringing valuables to class. FCHD does not accept any liability for lost or damaged belongings.

4.11 Please ensure that your child arrives on time for class, appropriately dressed and prepared (see points above). Late arrivals cause delays and disruptions. Please also ensure that your child is collected on time too. This again can cause delays and disruption to any following classes.

4.12 Please inform a member of the teaching team if your child will not be at class. A reply might not be returned immediately, but this will keep the teacher updated. Any no shows will receive a “check in” message.

4.13 Tactile instruction methods including essential physical contact may take place between your child and the teacher or their peers to demonstrate the likes of correct placement, alignment and posture. We encourage safe practice, so from time to time, will have to physically support the children in doing so. 

4.14 We have clear values and expect certain behaviours from our dancers. However, we will not be held responsible for students actions at any time outwith of class, so then out of our care, this includes but is not limited to, interactions with others, post or interactions on social media platforms, behaviour in their community or relationships with others.


5. Events and Services

5.1 All events and services are a choice, therefor, participation is not compulsory.

5.2 FCHD offer the opportunity for dancers to sit SOHDA Highland Exams. Children will be put forward for an exam at the discretion of the teacher. These events require a fee to participate and are organised and managed under the SOHDA.

5.3 We also offer our dancers the opportunity to take part in SOHDA Highland, National and Choreography Competitions. Teachers will closely monitor the progression of each dancer assessing their individual readiness for entering Competitions. They will only then be invited to participate in Competitions at such a time as we deem to be appropriate. Again, these events require a fee to participate and are organised and managed under the SOHDA.

5.4 Holiday Sessions, Workshops and Privates are organised and managed by FCHD. These events are open to all our dancers but may require minimum numbers so may be subject to change or cancellation, but prior notice will be given. Payment is due in full before the event, no refunds will be given to any “no shows”.

5.5 All other events including Performances and Shows are organised and managed by FCHD. Again, these events are open to our current dancers at the teachers discretion, and may require a fee to participate. This will be communicated prior to the event.

5.6 There may be extra fees and charges put into place for some of the above events if any extra rehearsals are required. There may also be a requirement for certain outfits to be purchased or hired. This will be communicated to all involved before your childs participation is confirmed.


6. Health and Safety

6.1 All FCHD teachers are First Aid trained and renew their training periodically in line with the national minimum requirements. A basic First Aid kit is kept on the premises at all times.

6.2 All FCHD teachers, teaching assistants and volunteers receive training on how best to support the children and have an up to date PVG certificate from Disclosure Scotland to ensure the safety and welfare of each child.

6.3 FCHD Teachers shall not be held responsible for any injuries or accidents that occur which are outside of our reasonable control. Teachers will ensure children are learning and progressing in a safe manner. 

6.4 For any child with a medical condition that requires administration of medication, it is the parents responsibility to ensure their child is either able to self administer without supervision, or to ensure that an appropriately trained adult is on hand to administer the medication. In either event, we cannot be held liable and accept no responsibility for the administration or effects of the medication received.

6.5 Any medical or additional need conditions must be disclosed upon registration. The responsibility falls upon the parent/guardian to update us if necessary thereafter. Its imperative that we are always fully aware of any health implications for your childs safety and your peace of mind.

6.6 FCHD has in place preventive measure to reduce the spread of covid 19 amongst other contagious illnesses, including, but not limited to, coughs, colds, flu, high temperature and chickenpox. We cannot guarantee that your child will not come into contact while attending class, but we encourage all parents to not let their child attend class if they are showing any contagious symptoms.

6.7 You, as a parent, are responsible for ensuring that your child is fit and healthy to attend class.

6.8 All children are now be required to make their way straight up to the dance room when they enter the building. No hanging around at reception or within the corridors/toilets.

6.9 Once a class is finished, children are returned to their parent unless we have prior notice that permission has been given for either someone else to collect, or the child is allowed to leave independently.


7. General

7.1 We accumulate a lot of lost property, so any items found at the the end of class will go into our Lost Property box. We recommend that items should be clearly labelled as we cannot accept responsibility for lost items.

7.2 Communications from FCHD are made via text, WhatsApp, email and social media. Please ensure you follow our social media platforms for recent updates and continue to check your junk/spam folders. It is your responsibility to ensure you update any changes to your contact details via our Class For Kids system as soon as possible.

7.3 Photos and video footage may be taken throughout classes and events. Permission is requested for this when signing up to join FCHD. All media will be stored on a private Dance School device which requires a password to access. We require a written request if you do NOT wish for your child to be involved if you have previously agreed. We may also work in collaboration with outside media sources in line with our data protection Privacy Policy.

7.4 We do not tolerate bullying of any kind. If a child or parent displays consistent behaviours we consider unruly, disrespectful or aggressive, this could result in an immediate termination of your contract.
